Retena is built around business memory, so privacy starts with clear notice, limited collection, source-backed use, and deletion paths that can be agreed during onboarding.

Scope

This Privacy Policy explains how Retena collects, uses, discloses, and protects personal information for the public website at https://v3.retena.app and the gated Retena product beta.

Customer agreements, data processing terms, or onboarding notices may add product-specific details. If those documents conflict with this public policy for a customer account, the signed customer agreement controls for that account.

Notice at collection

We collect personal information only for the purposes described here, during request-access conversations, onboarding, support, security, and use of enabled Retena product features.

  • Contact and account information, such as name, email, phone number, company, role, workspace membership, and support messages.
  • Customer content, such as WhatsApp messages, voice notes, attachments, message metadata, participants, timestamps, transcripts, summaries, search queries, source references, and action items when a customer connects or imports those conversations.
  • Usage, diagnostic, and security information, such as browser, device, IP address, log events, product settings, feature usage, delivery status, and error reports.
  • Commercial information, such as plan, invoice, payment status, and billing contact details if paid billing is enabled through a payment provider.

Sources of information

  • You or your organization, when you request access, set up a workspace, use Retena, or contact support.
  • Workspace administrators and authorized users who connect approved WhatsApp or other business communication sources.
  • Connected services, service providers, and hosting/security systems needed to run the website and product.
  • Automated product activity, such as logs, diagnostics, and AI-processing events created while Retena provides the service.

How we use information

  • Provide, secure, troubleshoot, and improve Retena features, including search, transcription, daily briefs, source-backed answers, and action lists.
  • Respond to beta requests, support questions, security reports, privacy requests, and commercial conversations.
  • Maintain workspace access controls, audit trails, abuse prevention, reliability monitoring, and product diagnostics.
  • Comply with legal obligations, enforce terms, protect users and the service, and preserve evidence where required.
  • Use aggregated, de-identified, or redacted operational signals to improve quality, reliability, and product design.

AI processing and training

Retena processes customer content with AI and transcription providers only to provide enabled features, such as transcribing voice notes, finding relevant sources, drafting summaries, and producing answers or action lists.

Retena does not sell customer content or use it for advertising. We do not intentionally use customer message content to train third-party foundation models unless the customer separately opts in or a signed agreement permits it.

AI outputs can be incomplete or wrong. Where available, Retena shows source context so customers can review the original message before acting.

WhatsApp and voice notes

Customers are responsible for giving required notices and obtaining required permissions before connecting WhatsApp conversations, worker groups, guest chats, contractor chats, or other business communications to Retena.

Do not send or request full payment card numbers, government identifiers, health information, or other highly sensitive information through Retena unless your organization has confirmed the use is lawful, permitted by all platform rules, and covered by a written agreement with Retena.

How we share information

  • With service providers and subprocessors that host, store, transmit, analyze, transcribe, secure, support, or bill the service.
  • With workspace administrators and authorized users according to the customer-configured workspace permissions.
  • With legal, security, or compliance recipients when required by law, to protect rights and safety, or to investigate abuse.
  • As part of a merger, financing, acquisition, or similar business transaction, subject to appropriate confidentiality and continuity protections.

Retention and deletion

We keep personal information for as long as needed to provide the service, meet legal and accounting obligations, resolve disputes, enforce agreements, maintain security, and support customer-requested retention settings.

Customer content retention is set by the customer agreement, workspace configuration, or beta onboarding plan. Backups, logs, and provider records may remain for limited periods before deletion or overwrite according to operational retention schedules.

To request deletion or export, contact founders@retena.app. We may need to verify authority before acting on a request.

Privacy rights

Depending on where you live and how your organization uses Retena, you may have rights to access, correct, delete, restrict, object to, or receive a copy of personal information. California residents may also have rights to know, delete, correct, opt out of sale or sharing, limit certain sensitive information uses, and avoid discrimination for exercising rights.

Retena does not sell personal information or share it for cross-context behavioral advertising on the public v3 site. If that changes, this policy and any required choice mechanisms will be updated.

Send privacy requests to founders@retena.app. If your information is controlled by a Retena customer, we may direct the request to that customer or ask them for instructions.

International transfers

Retena and its providers may process information in the United States, the Dominican Republic, the European Economic Area, and other locations where providers operate. Where required, customer agreements or data processing terms can define transfer safeguards.

Children

Retena is a business operations product and is not directed to children. Customers should not intentionally connect conversations involving children unless they have confirmed the use is lawful and appropriate for their context.

We may update this policy as Retena moves from beta to commercial launch. The updated date will change when material revisions are published. Questions can be sent to founders@retena.app.
